We are excited to accept candidates for the role of Offsite Events Coordinator for Wigle Whiskey and Threadbare Cider & Mead. This is a full-time position. The successful candidate will oversee program development and execution of off-site events for both companies across the Pittsburgh area. Essential functions of this role include, but are not limited to, scheduling and preparation for all off-site events, frequent staff management for all events, event research and outreach, and post-event analysis and reporting. Successful candidates will have at least one year of experience developing or facilitating events.
Physical demands include, but are not limited to, setting up and breaking down event equipment and furniture, and transporting supplies to different locations. This is not an all inclusive summary of duties and responsibilities required of the Offsite Events Coordinator and may change at any time with or without notice.
We are looking for a person who loves being on-the-go, partnering with cultural institutions and the community, and is comfortable working with spreadsheets to track and analyze the financial success of events.

Manage a team of 10-15 off-site events and farmers market staff
Schedule employees for all scheduled off-site events and farmers markets
Schedule employees for all extended, multi-day pop-ups
Maintain an open schedule during high traffic off-site times (June-July & October-December)
Maintain staffing contact sheet with Director of People & Education
Off-Site Event Operational Needs & Maintenance
Develop opening & closing checklists for staff to complete for each event
Maintain proper inventory levels on bottles, cocktails, and dry goods for all events
Prepare a packlist for each event and prepare all materials needed for each event
Clean-up materials after each event
Complete monthly inventory of all off-site bottles, as directed by Director of Operations
Off-Site Event Main Responsibilities
Schedule off-site event bottle sale and bar events using Wigle & Threadbare’s 100 off-site sales permits based on prior years’ results and new opportunities
Schedule yearly farmers markets for Wigle and Threadbare
Schedule cocktail and samples events with local businesses and partners
Develop off-site set-up and sales plans for major Pittsburgh events including Deutschtown Music Fest, Picklesburgh, Pittsburgh Marathon Expo, Handmade Arcade
Admin & Training Responsibilities
Track cost savings, staffing hours, and business growth goals as discussed with Director of People & Education and Director of Operations
Maintain 10-15 off-site sales iPad by setting them up before each event
Track daily sales on Square for each event to make data driven decisions
Balance all cash boxes after events and markets and prepare cash deposits
Attend weekly Events Meeting every week at Threadbare.
Attend manager trainings and quarterly sessions as scheduled by Director of People & Education
